Aliaxy Bot Privacy Policy
This Privacy Policy explains how Aliaxy Bot (“Aliaxy Bot”, “the bot”, “we”, “us”, or “our”) collects, uses, stores, and protects data when the bot is added to or used in Discord servers.
Aliaxy Bot is a Discord server management and moderation bot. It provides features such as server setup, rule management, member counting, account verification, moderation tools, reviews, tickets, logging, and configurable server panels.
By using Aliaxy Bot in a Discord server, you agree to the processing of data described in this Privacy Policy. If you are a server administrator, you are responsible for informing your server members that Aliaxy Bot is used in your server and may process Discord data as described below.
1. Data We Collect
Depending on which features are enabled by a server administrator, Aliaxy Bot may process and store some of the following Discord-related data:
Server and configuration data:
Discord server ID
Server name
Server icon URL
Server owner username
Server member count
Channel IDs
Category IDs
Message IDs used for bot setup/configuration panels
Role IDs used for verification, reviews, tickets, moderation, or mute roles
Server-specific bot settings, such as enabled/disabled features, embed colors, footer text, channel titles, ticket settings, captcha settings, review settings, moderation settings, and rule settings
User and member data:
Discord user ID
Username and discriminator, where available
Display name, where available
Avatar URL
Server membership events, such as when a user joins or leaves a server
Role-related information needed to check or assign configured bot roles
User moderation status inside a server, such as warnings, mute status, mute expiration time, allowed-user status, and last moderation-related message state
Message and interaction data:
Message content when required for enabled bot features
Message IDs
Channel IDs where messages or interactions happen
User replies during setup, ticket, review, captcha, rule editing, or configuration flows
Ticket questions and answers
Ticket transcripts or ticket text files when the ticket feature is used
Review text and ratings when the review feature is used
Rule text added by administrators
Forbidden words configured by administrators
Links or domains checked by moderation features
Operational data:
Error logs
Bot status and diagnostic logs
Timestamps related to events, configuration changes, joins/leaves, tickets, reviews, moderation actions, and errors
2. Privileged Discord Intents Used
Aliaxy Bot uses the following Discord Privileged Gateway Intents:
Server Members Intent:
Aliaxy Bot uses this intent to receive member join and leave events and to access member information required for core server management features. This is used for member counting, join/leave statistics, latest joined users, server logs, verification role assignment, mute role assignment/removal, ticket permission handling, and other role-based server management features.
Message Content Intent:
Aliaxy Bot uses this intent only when required for bot functionality. This includes moderation features that scan messages for spam, repeated messages, forbidden words, or links, and interactive setup flows where users or administrators reply with text input, such as captcha verification, reviews, tickets, rule editing, and server configuration prompts.
Presence Intent:
Aliaxy Bot does not use the Presence Intent. The bot does not monitor user online/offline status, user activity, games, streaming state, or custom status.
3. How We Use Data
We use collected data only to provide and operate Aliaxy Bot features, including:
Setting up and managing bot configuration inside Discord servers
Creating and updating server setup panels
Creating and managing rules channels and rule messages
Updating member count channels
Tracking member join and leave counts
Logging member join and leave events
Providing account verification and captcha features
Assigning or removing configured roles
Providing moderation tools such as anti-spam, link filtering, forbidden-word detection, warnings, mutes, and moderation logs
Creating and managing support tickets
Saving ticket data and transcripts where the ticket feature is enabled
Collecting and displaying server reviews where the review feature is enabled
Processing administrator configuration input
Debugging errors, preventing abuse, and keeping the bot stable and secure
Providing premium/license-related functionality where applicable
We do not sell Discord user data.
4. Message Content Processing
Aliaxy Bot may process message content when one of its enabled features requires it.
For moderation, message content may be checked to detect:
Repeated spam messages
Forbidden words configured by server administrators
Links or domains when link filtering is enabled
For interactive features, message content may be processed when a user or administrator provides text input, such as:
Captcha or verification responses
Ticket questions or support requests
Review messages
Rule text
Configuration values entered during setup
Moderation configuration input
Message content is used only for the feature that requires it. Aliaxy Bot does not use message content for advertising, profiling, selling data, or unrelated analytics.
5. Data Storage
Some data is stored in Aliaxy Bot’s database or local files so the bot can function correctly across restarts and continue providing configured server features.
Stored data may include:
Server configuration
Feature settings
Channel, message, category, and role IDs
Member count and join/leave statistics
Latest joined user records
Moderation settings and moderation status
Ticket records and transcripts
Review records
Rules and custom text configured by server administrators
Error logs and operational logs
Some message content may be stored when it is part of a feature that needs persistence, such as ticket transcripts, reviews, rules, moderation configuration, or logs.
6. Data Retention
We keep data only for as long as needed to provide Aliaxy Bot’s features, maintain server configuration, resolve issues, prevent abuse, comply with legal obligations, or support server administrators.
General retention practices:
Server configuration data is kept while the bot is installed in the server or while the server remains configured in the bot database.
Ticket data and transcripts may be kept until deleted by server administrators or upon valid deletion request.
Review data may be kept until deleted by server administrators or upon valid deletion request.
Moderation data such as warnings or mute records may be kept while needed for server moderation.
Error logs may be kept for debugging, security, and reliability purposes.
If the bot leaves a server, server features may be disabled, but some records may remain for operational, abuse-prevention, backup, or recovery purposes unless deletion is requested.
Server administrators or affected users may request deletion as described in the “Data Deletion Requests” section.
7. Data Sharing
We do not sell Discord user data.
We may share or disclose data only in limited cases:
With Discord, as necessary for the bot to operate through Discord’s API and platform
With service providers that host or operate the bot, database, website, logging, or infrastructure, only as needed to provide the service
When required by law, legal process, or to protect rights, safety, and security
When a user or server administrator explicitly directs us to share data, such as by using a feature that posts logs, reviews, tickets, or configuration output inside a Discord server
Aliaxy Bot may display certain data inside the Discord server where it is used, such as logs, member join/leave messages, ticket information, review messages, verification results, moderation alerts, and configured rules. Visibility depends on the server’s channel permissions and bot configuration.
8. Third-Party Services
Aliaxy Bot operates on Discord and uses Discord’s API. Your use of Discord is also governed by Discord’s own Terms of Service and Privacy Policy.
The bot, website, database, and related services may use hosting, database, backup, logging, email, payment, license, or website providers as needed to operate Aliaxy Bot. These providers may process data only to provide their services to us.
9. Server Administrator Controls
Server administrators can configure many Aliaxy Bot features from the bot setup panel or bot commands.
Depending on bot permissions and feature settings, administrators may:
Enable or disable bot features
Configure moderation settings
Configure forbidden words and link filtering
Configure roles used for verification, reviews, tickets, or moderation
Configure ticket settings
Configure review settings
Configure rule messages
Delete or reset certain bot-generated content inside their server
Server administrators are responsible for setting Discord channel permissions appropriately, especially for logs, ticket channels, setup channels, review channels, and moderation channels.
10. User Rights and Data Deletion Requests
Users and server administrators may request access, correction, or deletion of personal data associated with Aliaxy Bot.
To request data deletion, please contact us using one of the contact methods listed below and include:
Your Discord user ID
The Discord server ID, if the request concerns a specific server
A description of the data you want deleted
Proof that you are the affected user or an authorized server administrator, where necessary
We may need to retain limited information if required for security, abuse prevention, legal compliance, dispute resolution, or legitimate operational purposes.
Server administrators may also delete some bot-generated data directly inside Discord, such as messages, channels, tickets, logs, or configured bot content, depending on their Discord permissions.
11. Security
We take reasonable technical and organizational measures to protect data processed by Aliaxy Bot. These measures may include access controls, server-side protections, database access restrictions, and limiting access to data to authorized operators only.
No online service can guarantee complete security. If we become aware of a security issue that affects user data, we will take reasonable steps to investigate and respond.
12. Children’s Privacy
Aliaxy Bot is intended for use on Discord and is subject to Discord’s age requirements. We do not knowingly collect data from users who are not allowed to use Discord. If you believe data was collected from a user who should not be using Discord, please contact us.
13. International Data Processing
Aliaxy Bot may process data on servers or services located in different countries. By using the bot, you understand that data may be processed outside your country of residence, depending on our hosting and service providers.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the “Last updated” date at the top of this page. Continued use of Aliaxy Bot after changes means the updated Privacy Policy applies.
